Executive Meeting Minutes – 29 January 2025
Crewkerne Probus Club Executive Meeting
29 January 2025 – 10.30 a.m. at the Cricket St Thomas Golf Club
1. In attendance: Pres D.L., R.F., D.B., M.L., N.F., R.H-S., C.K., B.G., I.J.,
Apologies received from Mark Harris and Jon Jarrett.
2. Officers’ reports
• Treasurer Mike Luff, presented a financial statement which had been circulated by email.
Our balance at the bank stands at £2612.65
Irvin proposed and seconded by Roger that £650 be allocated as a donation to ARK. This was accepted at the meeting. The figure is made up from donations and raffles specifically for charity.
• Catering: Clarification was needed for Mikes interpretation of his deadline and this means any withdrawals from Club lunch must be made by 6.00p.m. on the Sunday not the Monday prior to Club lunch.
Ladies’ lunches, however, require notification to Roger 10 days prior to the event.
Mike will set up new wording for his email circular.
• Secretary Irvin reported stocks of Probus ties still available for purchase. Past president lapel badge and slider bar for David Long are now ready for the A.G.M. Planning is required for the gold leaf printing on the Club Board for President David. A thanks letter has been sent to The Lordleaze Hotel Staff for the Xmas Ladies Lunch.
• Fellowship – Robbie was asked to consider a response to Bill Westcott Pitt who is in hospital. Robbie will plan the best response.
• Transport – President David is always available to respond to requests.
• Functions: Roger presented the date options for Ladies lunch events; these would be Wednesday 28th May and Christmas lunch Wednesday 10th December. The dates were accepted by the meeting and Roger will go ahead with bookings. He thanked Treasurer Mike for his work with the events.
• Social Secretary: Contact to ARK is suggested inviting a representative to receive a charity donation from President David (March lunch is suggested).
Possible visits for the new year include one to the Aerial Atom car manufacturers in Haselbury, and two a visit to the Memorial Avenue Bowls Club. Both ideas to be explored.
Soc. Sec. Irvin would like a different member to take on this role.
• Future speakers: Bob has the next two months covered with Irvin and David Bryant for February and Chris Kitson for March.
The new year could have Paul Barker in June (classic cars) and the Wadham teenage girls with their visit to Kenya (possibly July or August)
• President David confirmed Mark Harris would take the President role in April and Jon Jarrett was suggested for vice President. David will ask Alan Morris if he would like to join the Executive.
There was a suggestion we should appoint a recruitment officer but David felt that recruitment is the responsibility of ALL members and he would ask members to bring along a friend to join our lunch.
3. Bob Griffiths will act as examiner for our accounts for the A.G.M.
Accounts will finalise at the end of March and the new financial year will begin on April 1st.
Treasurer Mike Luff was happy with these arrangements.
5.Roger reported that member card lists would not be printed yet but the Website is up to date.
6. Next meeting will be on Wednesday April 30th. Prior to the A.G.M.
