Executive Meeting Minutes – 3o October 2024

Crewkerne Probus Club Executive Meeting
3o October 2024 – 10.30 a.m. at the Cricket St Thomas Golf Club

1. Apology from David Bryant. Also, from Norman Fleetwood for the previous Exec meeting which had been missed. Welcome to guest member Paul Barker without whom Roger would be without transport!

2.The minutes from the previous meeting were checked and any matters arising were covered.

3. Officers’ reports:

  • Treasurer Mike Luff: Mike was thanked for his email covering various banking options in great detail. Accounts were down because of loss of members but it was agreed to aim for keeping £2000 in the accounts as a guide. Mike has worked through the accounts and brought in line with the end of year accounts for March in preparation for April AGM. The £15 gratuity for Golf Staff at our lunches needs a proposal for possible change at the AGM. Over half members paying lunches by bank transfer – this method can be adopted for the Christmas dinner by transferring to Mike with Xmas and name. A card reader is still a possibility and it was thought more members would be happy to pay all bills by card. The initial cost would be £200 approx. plus under 2% charge per transaction. This is acceptable to Mike and will be put to members at today’s lunch.
  • Secretary Irvin Johns: Irvin reported that our insurance has been renewed and email receipt received from the company. High risk events are not permitted so sorry, no plans for Cliff diving, Kite surfing, Sky diving or any similar activities!!!!!
  • Fellowship Robbie Heyd-Smith: no issues to raise.
  • Social Sec Irvin: reported on the hugely successful visit to the ARK Centre in Merriott. A written report has been circulated to members. We donated £130 to ARK at the event and the raffle raised another £90 added to our Club charity account. Further visits are possible with craft sessions included.
  • Functions Officer Roger Fowler: Reported that The Lordleaze was booked for 11th Dec. He is receiving members bookings and anticipated 40 plus at the dinner There will be a draw on the day and any donations for prizes can be given in advance to Jon Jarrett or brought on the day. (Jon would like to know so he can plan ahead) The price for lunch stands at £38 and now includes coffee/tea to follow. There will be a gratuity beer mug on each table to donate to staff. Roger explained that up to 10 days previous to the Xmas lunch he has to make firm bookings and payment should be made after this date if anyone has to cancel.
  • Transport Officer David Long: Lifts are always available – make contact with David.
  • President David’s comments: He thought all had been covered – he wished to give his thanks to all the Committee for their work and support.

4. Future speakers: Bob gave a breakdown of the months ahead. OCT: Irvin Johns – Coast to Coast Cycling, NOV. Alan Morris – Horses for Courses, JAN: Mike Luff – War time video, FEB. To be arranged, MAR: Paul Barker – Classic racing car build.

5. A.O.B. Robbie asked about support for the vaccination days at Henhayes – Roger thanked those who helped. Future plans may include High Vis vests stating PROBUS.
Reminder to Members to look to bring a friend to a lunch.
